Introduction

Automatic text messaging is a practical way to handle routine tasks and keep in close contact with your customers. It's an excellent tool that can help reduce the no-show rate and enhance customer satisfaction.

Types of auto messages

There are two broad types of messages

If you enable these messages, some will automatically be sent based on the date and time you set. You can decide how far in advance you want to schedule the text messages.

Automated System Messages

Event-Triggered Messages.

 

Automated system messages.


The Automated System Messages feature allows you to establish rules for automatic message/email sending. If a condition meets the rules you've set, our system will automatically send an SMS/email to your customer.

 

Appointment Reminders


  • Appointment Reminder
    • This initial reminder can be scheduled to notify your customers about their upcoming appointments. You can set it to be sent a certain number of days before the appointment. The message template can include a "Reply Y to confirm" option. If a customer responds with a "Y", their appointment status on the calendar will automatically switch to confirmed. The appointment reminder applies to all future appointments.
  • Secondary Reminder
    • In addition to the first reminder, you can also set a secondary appointment reminder. If your customer does not respond with a "Y" to confirm the first appointment, the second reminder will be sent out. You can enable an "always send" option, ensuring the secondary message is sent regardless of whether your customer confirms the first reminder or not.
  • Before Appt. Reminder
    • You can set this reminders to be sent out a few hours before the scheduled appointment time.
  • Vaccination reminder
    • This reminder will automatically be sent out based on the vaccination expiration date on file. You can choose how many days in advance of the expiration to notify your customer, and provide a link for them to update their vaccination information. To set up the types of vaccination reminders, please navigate to Settings > Pet Options > Vaccine > Set Vaccine Alert.
  • Rebook Reminder
    • This reminder will automatically be sent based on the booking frequency in each client's profile (Client Profile > Preference). You can set the number of days in advance of the expected grooming schedule according to each client's booking frequency. The default booking frequency is every 4 weeks, but you can update this based on each client's preference.
  • Pet Birthday Reminder
    • You can establish a birthday reminder template, and reminders will be sent automatically on each pet's birthday.

Event-triggered messages


Event-triggered messages allow you to pre-create message templates. These messages will not be sent out unless a certain action is taken. Our system will prompt you to send the message when certain actions are performed or certain buttons are clicked. Below is a list of Event-triggered messages.

  • New Appointment
  • Rescheduled Appointment
  • Cancelled Appointment
  • Waiting List
  • Form Acceptance message
  • Form Rejection messages
  • Send Agreement
  • Send Invoice
  • Pick Up Reminder
  • Request Deposit
  • ETA Message

Global Settings


  • Arrival Window Message
    • Instead of providing your customer with an exact time, you can establish an arrival window. This window should be included in your message. For example, if the appointment begins at 10:00 AM, the message will show (10:00 AM - 12:00 PM). If you wish to send an estimated arrival time range to clients, insert the "Appointment Time With Arrival Window" tag in the text template.
